XLS is a binary compound document format — Microsoft's BIFF8 (Binary Interchange File Format, revision 8) introduced with Excel 97 — that encodes rows, columns, cell values, number formats, merged cells, formulas, and multi-sheet workbooks inside a structured storage container. None of that structure maps cleanly to the open web. The most common reason someone converts XLS to HTML is precisely that: they have tabular data locked in a proprietary binary that only spreadsheet software can fully open, and they need it readable in a browser, embeddable in a web page, or shareable without requiring the recipient to have Excel. HTML tables are universally renderable, indexable by search engines, and require no plugin or licensed software to view. A secondary driver is archiving: an HMTL snapshot of a report or invoice that would otherwise decay as Excel versions change is permanently accessible through any browser built in the last two decades.
Why convert XLS to HTML
XLS files depend on Excel or a compatible spreadsheet engine to open. Sending a financial table, a data export, or a schedule to someone who uses a browser-only device, a locked-down corporate machine, or a mobile context means they may not be able to open it at all. HTML removes that dependency entirely. XLS vs HTML — Strengths and limitations
What each format does best, and where it falls short.
XLS Strengths
- Universal legacy — every Excel since 1997 opens .xls natively.
- Binary format is compact and loads quickly.
- Full support for formulas, charts, pivots, and VBA macros.
- Deep integration with every accounting and ERP system of the 1990s-2000s.
Limitations
- Row/column limits are ~64× smaller than modern XLSX.
- Macro-enabled variants are a notorious malware vector.
- Binary corruption often means total data loss.
HTML Strengths
- Universal — every browser, OS, email client, and document reader displays HTML.
- Plain text, human-readable, grep-able, and diffable in git.
- Flexible — pages render even with broken or partial markup (error-tolerant parser).
- Carries structure, styling (CSS), and behavior (JavaScript) in one file.
- Accessibility-friendly when written with semantic tags and ARIA attributes.
Limitations
- Error tolerance allows sloppy markup to hide real bugs.
- Rendering depends on browser engine — pixel-perfect cross-browser output is an art form.
- Security-sensitive — unsafe HTML can execute scripts or leak data (XSS vulnerabilities).
Quality & Compatibility
The conversion preserves cell text values, basic number formatting (integers, decimals, currency symbols if stored as display strings), and the row-column grid structure as an HTML table element. Cell background colors and bold or italic font styles survive in inline CSS when the converter reads the BIFF8 style records. What does not survive: formulas are flattened to their last computed value — no calculation engine exists in HTML. Merged cells require colspan and rowspan attributes and are preserved structurally but may look different depending on browser CSS defaults. Multiple worksheets within the workbook become either separate HTML files or separate table blocks; which approach a converter takes matters for navigation. Charts, embedded images, dropdown validation lists, conditional formatting rules, and VBA macros are lost entirely. XLS has no concept of semantic markup, so column headers become ordinary table cells unless the converter applies a thead element heuristically.
Tips for Best Results
- If your XLS file contains multiple sheets and you only need one, delete or hide the others before uploading — most converters process all sheets and produce either multiple files or a long page that combines them, which inflates the output and may confuse the tab order.
- Merged cells in XLS convert to colspan or rowspan attributes, but deeply nested merges across many rows can produce malformed HTML in some converters. Unmerge non-essential decorative merges in Excel before converting if you plan to style the table with CSS afterward.
- Formulas are replaced by their last-calculated value at the moment the XLS was saved. If the file was last saved with stale data — for example a SUM that referenced a cell that was later cleared — the HTML output will show that stale value. Recalculate and save the XLS in Excel or LibreOffice Calc before converting to guarantee the numbers in the HTML match what you expect.
