ODS (OpenDocument Spreadsheet) is the ISO-standardized open format for spreadsheets, used by LibreOffice Calc, Apache OpenOffice, and Google Sheets. While Excel's XLSX dominates the business world, ODS offers something XLSX cannot: a fully open, vendor-neutral standard with guaranteed long-term readability.
What Is ODS?
ODS (.ods) is part of the OpenDocument Format (ODF) family, standardized by OASIS in 2005 and later adopted as ISO/IEC 26300. It's the native format for LibreOffice Calc — the free, open-source alternative to Microsoft Excel — and is widely used in education, government, and organizations that require open standards compliance.
An ODS file is a ZIP archive containing:
content.xml— all spreadsheet data, formulas, and formattingstyles.xml— cell styles, column/row sizes, page layoutmeta.xml— document metadata (author, creation date, keywords)manifest.xml— file listing for the ZIP containerPictures/— embedded images (if any)
This transparent, human-readable structure is why ODS excels for archiving: even if LibreOffice ceases to exist, any developer can write a parser from the publicly available spec.
ODS vs XLSX: Feature Comparison
| Feature | ODS | XLSX |
|---|---|---|
| Open standard | ✅ ISO/IEC 26300 | ⚠ ECMA-376 (complex, disputed interop) |
| Free tools | ✅ LibreOffice, Calc, Gnumeric | ❌ Requires Microsoft 365 for full support |
| Formula compatibility | ✅ Full (ODFDOM) | ✅ Full |
| Pivot tables | ✅ Pilot tables (different implementation) | ✅ Full PivotTable |
| Macros | ✅ LibreOffice Basic | ✅ VBA |
| Conditional formatting | ✅ Supported | ✅ More options |
| Charts | ✅ Good | ✅ More chart types |
| Long-term archiving | ✅ Excellent (open spec) | ⚠ Spec complexity creates interop issues |
| Government mandates | ✅ EU, UK, Netherlands, India | Mixed |
Where ODS Is Used
- LibreOffice Calc: the default save format (though you can set XLSX as default)
- Google Sheets: can open and export ODS (File → Download → ODS)
- EU and government offices: many European governments mandate ODF formats for public documents. The Netherlands, UK (Cabinet Office), and France have official ODF policies.
- Education: LibreOffice is standard in many school systems (cost-free), making ODS common
- Long-term data archiving: archives that need to be readable in 20-50 years often choose ODS over XLSX
Converting ODS Files
ODS to XLSX (for Excel users):
# LibreOffice command line
soffice --headless --convert-to xlsx spreadsheet.ods
# In LibreOffice Calc GUI:
# File → Save As → Microsoft Excel (.xlsx)
ODS to CSV (extract data):
soffice --headless --convert-to csv spreadsheet.ods
Note: CSV conversion only exports the active/first sheet. For multi-sheet workbooks, each sheet becomes a separate CSV.
ODS to PDF:
soffice --headless --convert-to pdf spreadsheet.ods
XLSX to ODS:
soffice --headless --convert-to ods spreadsheet.xlsx
Batch conversion (all ODS in folder to XLSX):
for f in *.ods; do
soffice --headless --convert-to xlsx "$f"
done
Python (openpyxl + odfpy):
# Install: pip install odfpy openpyxl
from odf.opendocument import load
from odf.table import Table, TableRow, TableCell
from odf.text import P
doc = load('spreadsheet.ods')
# Access sheets and cells programmatically
Opening ODS in Excel
Microsoft Excel 2010 and later can open ODS files directly (File → Open → browse to .ods). Compatibility is generally good for simple spreadsheets. Complex features may differ:
- Pilot tables (ODS) ≠ PivotTables (XLSX) — they may not convert perfectly
- LibreOffice Basic macros are stripped when opening in Excel
- Some conditional formatting rules behave differently
For best fidelity when sharing with Excel users, convert ODS to XLSX using LibreOffice first, then verify the result in Excel.
ODS Formula Compatibility
ODS supports the OpenFormula specification — a standardized formula syntax. Most common Excel functions work identically (SUM, VLOOKUP, IF, INDEX/MATCH, COUNTIF, etc.). Edge cases:
- Array formulas use
{=...}syntax in both (same) - Some Excel-specific functions have no ODS equivalent (XLOOKUP is Excel 365 only)
- Financial functions (XNPV, XIRR) are supported in both
Tips for ODS Users
- Set XLSX as default in LibreOffice: Tools → Options → LibreOffice Calc → General → "Always save as" → Microsoft Excel format — avoids accidentally saving as ODS when collaborating with Excel users
- Preserve ODS for archives: keep master copies as ODS for long-term retention, share copies as XLSX or PDF
- Google Sheets bridge: if collaborating via Google Sheets, download as XLSX for Excel users and ODS for LibreOffice users from the same source
- Formula audit: when converting XLSX to ODS, always check that pivot tables and complex formulas transferred correctly before discarding the original
